This Privacy Policy explains how KNSTROUSE PROPERTIES, LLC, doing business as Pricebookr ("Pricebookr," "we," "us," or "our") collects, uses, and shares information when you use Pricebookr (the "Service"). By using the Service, you agree to this Policy. If you are a customer of a business that uses Pricebookr, section 8 is written for you.
1. Information We Collect
- Account information — name, email, password (stored hashed), company/organization name and business address, and role.
- Catalog data — the products, services, prices, costs, tiers, rules, and related content you create or import.
- Customer records — if you use the customer-management features: information about your own customers and their properties that you or your users enter or import, including names, contact details, addresses, property access notes, equipment, photographs, quotes, approvals, invoices, and payment status. We process this on your behalf under the Data Processing Addendum.
- Approval records — when one of your customers approves a quote, the name and email they give, the time, the IP address and browser they used, and the text they agreed to.
- Payment information — if you enable payments: the status, amount, method type, and last four digits of each payment, as reported by Stripe. Card and bank numbers are entered in Stripe-hosted fields and never reach our systems.
- Integration data — credentials/tokens (encrypted at rest) and data exchanged with third-party tools you connect, used to provide sync.
- Location (mobile app) — if you grant location permission, the Pricebookr mobile app records your device's location when you clock in or out. If your company enables location timers and you separately opt in on your phone, the app also detects when you arrive at or leave an assigned service visit during your clocked-in shift, including when the app is closed or not in use (background location). For each detection we store the location, its timestamp and accuracy, the assigned visit, and the resulting timer decision, linked to your signed-in account. The app monitors only the sites of your assigned visits, does not track your route or location continuously, and never starts or ends your payroll shift on its own. You can turn location timers off in the app or revoke location permission in your phone settings at any time; manual timers keep working. When you take or attach a job photo, the app may record where the photo was taken (with its accuracy) and store it with the photo, to place equipment on the property's site map. Locations more than 500 meters from the property are discarded.
- Photos and videos (mobile app) — with your permission, the app uses the camera and microphone to capture job photos and videos, and can read the date and location embedded in photos and videos on your phone to find ones taken near a service address. That matching happens on your phone; only media you choose is uploaded. A photo's location, when kept, is uploaded with that photo as described under Location above.
- Usage data — log data such as IP address, browser type, pages viewed, and actions taken (e.g., audit events).
- Cookies and analytics — essential cookies/local storage keep you signed in and operate the Service. We also use Google Analytics on our public pages and app; it sets its own cookies to help us understand how the site is used, governed by Google's privacy policy. Analytics cookies are set only if you accept them in the cookie notice, and declining (or blocking them in your browser) doesn't affect the Service.
- How you found us — on your first visit we store one first-party cookie ("pb_attr") recording the page you arrived on, the website that referred you (the site name only, not the full address), and any campaign tags in the link. It expires after 30 days, contains no name, email, or identifier, is readable only by our own server, and is not shared with anyone or used to track you on other sites. If you create an account, we keep that record with your organization so we know which channels our customers come from. Blocking it doesn't affect the Service.
2. How We Use Information
- to provide, maintain, and improve the Service;
- to synchronize your catalog and records with the third-party tools you connect, at your direction;
- to send quotes, approval copies, one-time codes, invoices, and receipts to your customers on your instruction;
- to authenticate you and secure your account;
- to bill you and, if you enable payments, to reconcile payments with Stripe;
- to record clock-in and clock-out locations and, where your company enables it and you opt in, to remind you about or time your assigned service visits from location, for your employer's time review and audit;
- to place equipment on a property's site map, using where a job photo was taken;
- to provide support and respond to your requests;
- to monitor, troubleshoot, and protect against fraud and abuse; and
- to comply with legal obligations.
3. How We Share Information
We do not sell personal information. We share information only:
- With third-party tools you connect (e.g., Jobber, QuickBooks), to perform the sync you request;
- With your customers, when you send them a quote, approval copy, invoice, or receipt through the Service;
- With service providers who process data on our behalf under appropriate safeguards — hosting and database infrastructure (Railway), content delivery, bot protection, and file storage (Cloudflare), payment processing (Stripe; card details go directly to Stripe and never touch our servers), transactional email (Resend), AI features you choose to use, such as the assistant and quote drafting (OpenAI, which receives the text and images sent with that request), text messaging if you turn it on (Twilio), sign-in providers you choose to use (Google, Apple), maps (Google Maps), image hosting (Cloudinary), error monitoring (Sentry), and analytics (Google Analytics). The full list, with what each one receives, is published at pricebookr.com/legal/subprocessors;
- For legal reasons, if required by law or to protect rights, safety, and the integrity of the Service; and
- In a business transfer, such as a merger or acquisition, subject to this Policy.
4. Data Retention
We keep your information for as long as your account is active. When your account ends, you can export your data for 30 days; we then delete it within a further 60 days, except: approval records, which we keep for seven years from the approval so they can be produced if a sale is disputed; data in routine backups, which is overwritten within 35 days; and anything we must keep by law, such as billing records. Location detections that are not linked to recorded time are deleted after 30 days; detections linked to recorded visit time are kept with that time record for audit. Records you delete inside the Service go to a recoverable trash for 30 days and are then permanently removed, including any photographs.
5. Security
We use reasonable technical and organizational measures to protect your information: encryption in transit; encryption at rest, with additional application-level encryption of integration credentials and property access notes; access controls that limit every user to their own organization; hashed passwords; rate-limited sign-in; and an audit trail of administrative actions. Our staff can access your account to provide support; every such access is logged. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we confirm a security incident affecting your data we will notify you without undue delay.
6. Your Rights and Choices
You may access, correct, and export your information from your account, and delete customer records from inside the Service. You may ask us to delete your account and its data by contacting us; we will do so as described in section 4. You can disconnect any third-party integration at any time from your account. If you are a customer of a business that uses Pricebookr and want to exercise rights over information about you, see section 8.
7. International Users
Pricebookr is offered to businesses in the United States, and information is stored and processed in the United States. We do not offer the Service to persons in the European Economic Area, the United Kingdom, or Switzerland. If you use the Service from outside the United States, you consent to the transfer of your information to the United States.
8. If You Are a Customer of a Business That Uses Pricebookr
If a contractor or other business sends you a quote, approval copy, invoice, or receipt through Pricebookr, that business is our customer and you are theirs. The information we hold about you — your name, contact details, address, property notes, equipment, quotes, approvals, and payments — was entered by that business or collected on its behalf when you used a page it sent you. We process it only to provide the Service to that business and on its instructions; we do not use it for our own marketing and we do not sell it. To see, correct, or delete information about you, contact the business that sent you the message; it controls that information, and we will help it respond. If you cannot reach it, contact us and we will pass your request on.
9. Children's Privacy
The Service is not directed to children under 18, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.
10. Changes to This Policy
We may update this Policy from time to time. If we make material changes, we will provide notice (for example, by email or in-app). The "Last updated" date reflects the latest version.
